Description:

Our client, a Well-Known Finance Company, is seeking a Full-time contracted Administrative Assistant to join their Miami office in a temp-to-hire capacity ASAP! The ideal candidate will be driven, and a self-starter who will require very little guidance.


*Fully onsite up 5 days a week

*Hours 8:30 am - 5:00 pm EST

*Need to have experience supporting various time zones


Responsibilities:

  • Managing calendar(s) including scheduling internal and external appointments, confirming meetings, coordinating with other assistants
  • Answering calls and acting as a gatekeeper for senior professionals
  • Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitors' system
  • Managing detailed corporate expenses including tracking receipts and reimbursements
  • Coordinating travel arrangements including flights, visas/passports, cars, hotels, and other reservations
  • Maintaining and organizing files
  • Coordinating and supporting various cultural initiatives
  • Acting as back-up support for other senior professionals


Skills:

  • 6+ years of administrative assistant experience supporting 2 or more senior professionals
  • Technically savvy in Microsoft suite
  • Highly organized with strong attention to detail
  • Ability to multi-task and prioritize competing tasks and deadlines
  • Experience with coordinating travel arrangements; familiarity with Concur is preferred
  • Ability to work under pressure
  • Perform duties with the highest level of confidentiality and integrity
  • Strong communication skills; high EQ
  • An autonomous worker with strong follow-through skills
