Title: Community Association Executive Assistant

Location: Fort Lauderdale, Florida

Type: Full time

Salary: $65K - $75K Per Year.


SUMMARY:

We are seeking an experienced and highly organized Community Association Executive Assistant to provide essential administrative support within the legal sector. The successful candidate will handle a range of duties, including arranging travel, managing general accounting tasks, maintaining client files, and assisting with attorney calendars. The role also involves preparing presentations, managing Continuing Legal Education (CLE) tracking and submissions, processing attorney expense reports, conducting conflict checks, and filing documents. Additionally, the Executive Assistant will support attorneys with client and attorney inquiries, assist with notices to owners, and ensure that client files are up to date for all meetings.


Key Responsibilities:

  • Arrange and coordinate travel for attorneys.
  • Manage and process general accounting duties, including expense reports.
  • Maintain and update client files in preparation for meetings.
  • Schedule appointments and manage attorney calendars.
  • Assist with preparing presentations and special engagements.
  • Track and submit Continuing Legal Education (CLE) credits.
  • Conduct conflict checks for new clients and cases.
  • Handle filing of documents and emails, ensuring proper organization.
  • Respond to client and attorney inquiries, providing timely assistance.
  • Assist with issuing notices to owners.
  • Ensure all client files are current and organized for meetings.
  • Update attorney schedules on a daily basis.


Requirements:

  • A minimum of seven years experience in a legal assistant role with a bachelors degree, or a minimum of ten years experience as a legal assistant.
  • Proven experience in a law firm setting.
  • Exceptional administrative and organizational skills.
  • Strong command of grammar, spelling, and punctuation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to effectively organize files and workflows.
  • Excellent customer service and client relations skills.
