Job duties:
General statement: This position provides clerical and customer support in the property control office with tasks related to motor pool vehicles, handling of records related to the division's vehicle fleet, and with the annual inventory. Responsible for managing mail room activities and ordering administrative supplies.
State vehicles: The incumbent coordinates the data entry of vehicle log reports for the division into the Fleet Inventory Management System (FIMS) by the 15th of each month. Contacts employees and/or supervisors as required to receive vehicle logs and/or associated backup on a timely basis. Updates vehicle profiles in FIMS, assigns pool vehicles to department employees upon request, monitors usage and assists with coordinating pool vehicle repairs and maintenance issues. Enters monthly pool vehicles usage information into FIMS.
Vehicle-related purchases: Assists with monthly sample reviews of fuel card transactions. Resolves questions and problems with fuel card charges, transponders, and license plates as needed for division vehicles. Manages monthly transponder account as needed.
Vehicle Acquisition/Disposal: Assists with securing tag, title documentation, registration, decals, and vehicle packets for new vehicles. Assists with securing division fuel purchase cards and requesting cancellation of fuel purchase cards. Assists division and agency to dispose of surplus vehicles, as needed.
Mail room: Pick up the mail every morning from the Gainesville USPS Office, receive and deliver all incoming mail and packages using the Web Tracking System, stamp all outgoing mail via USPS, order all the mail supplies and assists employees with any mail questions or concerns.
Division assets tracking: Assists with the annual physical inventory of Plant Industry state property by scanning items, visual verifications of state property, prepares inventory forms for asset movement; prepares memos for related matters.
